Receptionist Clinic
• Serves patients by greeting and helping them; scheduling appointments; maintaining records and accounts.
• Optimizes patients’ satisfaction, provides time, and treatment room utilization by scheduling appointments in person or by telephone.
• Comforts patients by anticipating patients’ anxieties; answering patients’ questions; maintaining the reception area.
• Maintains patient accounts by obtaining, recording, and updating personal and financial information.
• Protects patient’s rights by maintaining confidentiality of personal and financial information.
• Maintains operations by following policies and procedures; reporting needed changes.
• Contributes to team effort by accomplishing related results as needed.
• Responsible for collecting and posting of co-pays and cash payments at the time of service, providing receipt of payment to the patient.
• Responsible for balancing daily payment journal.
• Liaising with patients, general practitioners, health care professions, and patient’s family members in a compassionate and kind manner.
• Receiving patients in a polite and courteous manner, monitoring the patient’s flow into the waiting room and treatment rooms.
• Receiving and convey messages in writing, electronically and verbally to the appropriate person.
• Complete the admitting or check-in-process of each patient, correct, up-to-date information, include insurance eligibility verification.
• Keeps the clinic supervisor informed of any customer complaints, system problems or any situations that affect the day to day operation of the clinic in a timely manner.
• Contributing equitably in the maintenance of cleanliness of the medical practice
• Keeps medical office supplies adequately stocked by anticipating inventory needs, placing orders, and monitoring office equipment.
• Responsible for opening the office in the morning and locking the office premises after working hours.
• Ensure that the waiting room environment remains quit, calm, and welcoming.
• Respond to emails that arrive using our general office email address.
• Uphold the positive reputation of our medical office by always treating visitors in a friendly, welcoming, and compassionate manner.
• Contributes to team effort by accomplishing related results as needed.
• Reconciles petty cash with cash receipts, follows policy with respect to petty cash.
• Performs additional job duties as assigned.
• Attends monthly staff meetings.
• Is punctual and prompt for work.
• Follows the policies and procedures for sick and unscheduled absences.
• Adheres to the policies and procedures for Dress Code.
• Completes in-services and health exams as required

1. EDUCATION High School Diploma

2. LICENSURE Completion of a certificate program preferred

3. EXPERIENCE 1 + years of experience in healthcare preferred
Working with an EMR system
Successful work experience as an office clerk or in another clerical position

4.SKILLS
Ability to multi-task and handle many incoming calls or patients at once.
Efficient and accurate data-entry skills.
Familiar with medical terms, identification of medical reports through medical terminology.
Friendly and knowledgeable when answering the phone, taking messages, or redirecting calls to appropriate person
Ability to effectively use and maintain office equipment such as photocopier, printers, fax machine, etc
5.INTERPERSONAL SKILLS
Excellent written and verbal communication skills. Ability to build relationships and quickly develop trust with patients and healthcare professionals.
Ability to work independently or as part of a team.
Organizing, multi-tasking, and flexible to handle fluctuating workloads and tasks.

6.PHYSICAL EFFORT
Ability to concentrate and maintain accuracy
Frequently required to retrieve stacks of medical records loose reports weighing up to 15 pounds
Occasional bending, stooping, kneeling, crouching, reaching

7.HOURS OF WORK .
Monday-Friday with extended hours as needed.
8. HAZARDS Exposure to chemicals, machinery, and blood borne pathogens that requires the use of personal protective equipment, i.e., masks, gowns, & gloves.
9.COMPETENCE FOR SPECIFIC PATIENT POPULATION: Infant, Pediatric, Adolescence Adult and Geriatric
10. INFECTION CONTROL
Ability to comply with department specific controls implemented to reduce the risk of acquiring and transmitting infections within the health care settings. The controls may include, but are not limited to, immunity to certain vaccine preventable diseases, screening for tuberculosis infection or diseases, the ability to utilize indicated personal protective equipment and attendance at appropriate training.
