Accounts Payable Clerk
GENERAL SUMMARY:
This position reports to the Chief Financial Officer.

1. Ability to effectively communicate well with vendors, co-workers, and administration.

2. Must possess a good work ethic.

3. Ability to organize and maintain all documentation as it relates to the Accounts Payable function.

4. Ability to ensure all invoices have been properly authorized either by purchase order through Materials department or by signed approval of department director in which the invoice relates to.

5. Ability to set up new vendors following protocol of having all required documentation from vendor (W-9, etc.).

6. Ability to enter invoices timely and accurately, using accurate general ledger coding.

7. Ability to process payment for invoices in a timely manner and as discussed with CFO/CEO.

8. Ability to maintain cash on a daily basis by keeping up with disbursements and deposits for daily cash balancing.

9. Ability to file all invoices with check stubs timely and accurately in designated filing cabinets.

10. Ability to manage the monthly closing process for accounts payable to ensure all checks have been cleared according to bank records, and all required reports printed and archived in system.

11. Ability to coordinate with Materials department efficiently and effectively to resolve any problems with purchase orders.

12. Ability to work closely with department managers to ensure delivery of orders.

13. Ability to process year end functions by following system instructions and processing/submission of 1099 forms.

14. Ability to accept other related duties as assigned by your supervisor or administration.

JOB SPECIFICATIONS: DESCRIPTION
1. EDUCATION Bachelor’s degree in Accounting or other finance related field preferred.
2. LICENSURE None.
3. EXPERIENCE At least two years in the accounting/finance field preferred.
4. SKILLS Working knowledge of accounting functions, accounts payable functions, payroll functions
Proficient in computer skills and Microsoft tools (Word, Excel, etc.).
5. INTERPERSONAL SKILLS Verbal, quantitative and interpersonal skills.
6. PHYSICAL EFFORT Requires finger dexterity, eye/hand coordination and full range of body motion including the ability to stoop, kneel, crouch, reach, push, pull and grasp items and stand and walk for extensive periods of time; the ability to lift and move equipment/supplies (0-25 pounds) with proper technique and accessories. Requires corrected vision and hearing in normal range.
7. HOURS OF WORK Generally Monday-Friday with extended hours as needed.
8. HAZARDS Exposure to chemicals, machinery, and bloodborne pathogens that requires the use of personal protective equipment, i.e., masks, gowns, & gloves.
9. COMPETENCE FOR SPECIFIC PATIENT POPULATION:
None.
10. INFECTION CONTROL: Ability to comply with department specific controls implemented to reduce the risk of acquiring and transmitting infections within the health care setting. The controls may include, but are not limited to, immunity to certain vaccine preventable diseases, screening for tuberculosis infection or disease, the ability to utilize indicated personal protective equipment and attendance at appropriate training.
